Office and clinic

Who can enter where and when – and what happens after closing time. All properly documented.

Office and clinic: traceable access, simple opening and closing, documented security

Many different people pass through an office or medical practice: staff, clients, patients, cleaners, couriers, maintenance workers. The system’s job is to let everyone in where and when their work requires, to make unnecessary access revocable, and to show the insurer and the authorities what they expect: an alarm built from MABISZ-recommended devices (MABISZ is the Association of Hungarian Insurance Companies), lawfully positioned cameras, and a documented, working and maintained set-up. All without day-to-day operations being held together by shared keys and shared passwords.

Sound familiar?

  • One key gets passed from hand to hand – and a colleague who left still has one.
  • Everyone shares the same alarm code; the cleaner knows it too.
  • Your property insurance policy expects a documented system built from MABISZ-recommended devices – and you don’t know whether your current one meets this.
  • There are cameras, but no documentation – and nobody knows who is allowed to view the footage.
  • The server room hits 35 degrees in summer – and this only came to light when the system shut down.
  • In the evening, nobody knows for sure whether the alarm was armed and whether the storeroom was left locked.

Solutions

Access control by role – not one key for everyone

Keypad next to an entrance door

The problem A shared key and a shared code can’t be revoked: anyone who got in once can still get in later. The cleaner can go wherever the finance colleague goes.

How do we solve it? Card, mobile or code-based access control at the entrance and on sensitive rooms – server room, records room, medicine storage, storeroom – by role and time window: staff during working hours, managers with extended hours, cleaning on set days, maintenance temporarily. A departing colleague’s access ends with one click. Shift-based permissions and gate control can also be set up; the log can be exported.

What you get You know who was where and when; departing staff don’t take access with them; and you don’t need to change the locks because of a lost card.

An alarm matched to your insurance terms

Curtain detector with camera at an office entrance

The problem Property insurance may require an alarm built from MABISZ-recommended devices, in a documented, working and maintained condition. After a loss, one of the first questions is whether you can prove it was in working order – and the answer is often “we don’t know”.

How do we solve it? An alarm built from MABISZ-recommended devices, matched to your insurance terms, with zones that follow how the rooms are used: reception, consulting room, office and storeroom can be armed at different times. Every staff member gets their own code or card; the code and the entry can be linked if the system supports this in a verified way. You can submit the handover documentation directly to the insurer, a report is produced for each regular inspection, and connection to alarm monitoring typically raises the compensation limit under several policies as well.

What you get Insurance compliance that’s documented, not just well-intentioned – and an alarm your colleagues understand and actually use.

Cameras for a justified purpose – with data protection documentation

Dome camera on the ceiling of a bright office

The problem The cameras went up, but nobody knows who may view the footage or how long the recorder keeps it – which makes it of little use in a dispute.

How do we solve it? Entrance, reception, cash and valuables storage, storeroom – we only install cameras where a property protection purpose justifies it; never in treatment rooms, examination rooms, changing rooms or break rooms. We hand the system over with privacy masking and the necessary data protection documentation; we set the retention period on the recorder, and only designated persons can access the footage, with every access logged. The footage stays on site, and the cameras run on a separate network.

What you get Usable footage when you need it – and a system in which you know who viewed the footage and when.

Opening and closing summary: everything on one screen in the evening

Building functions in a single phone app

The problem The last person to leave doesn’t know what to check; in the morning it turns out that the storeroom was left open, the air conditioning ran all night and the alarm wasn’t armed.

How do we solve it? The last exit, or a button press, starts the closing routine: the system arms the alarm, switches off designated appliances, sets the heating and cooling to economy, then sends a summary to the manager; it alerts you immediately to a door left open or a failed arming attempt. In the morning, opening works the same way in reverse.

What you get Certainty in the evening, a three-minute overview in the morning – and no more “I forgot to arm it”.

Server room, medicine storage, records room: temperature and water

Wall-mounted network cabinet with tidy cabling

The problem The server room’s air conditioning stops, the medicine fridge warms up, water leaks from beside the washroom into the records room – and all of it happens silently.

How do we solve it? Temperature sensors in critical rooms, with limits and delays set for each room and notifications sent to the person responsible; water sensors at washrooms and in plant rooms; alerts for power and internet outages. The steps to take can be sent along with the fault alert. The system supplements mandatory records that require calibrated measurement, but does not replace them.

What you get You’re notified in time when the server room starts heating up or the medicine fridge is out of range – before there’s trouble over the weekend.

Energy: heating, cooling and lighting matched to opening hours

Adjusting the air conditioning in an office

The problem The air conditioning and heating run at full power even at weekends, the meeting room lights stay on all day, and the coffee machine keeps heating overnight.

How do we solve it? Heating, cooling and lighting follow opening hours, occupancy and the arming of the alarm: economy mode when armed, comfort at the first entry; meeting rooms by occupancy; designated appliances switch off at closing time. Existing air conditioning units and boilers can be controlled too.

What you get Energy savings that can reach double-digit percentages – we estimate the likely amount during the site survey – with no loss of comfort.

Multiple sites – one interface

The problem Three offices, three systems, three maintenance contractors – and the manager has no view of any of them.

How do we solve it? All sites on one interface: permissions managed centrally, alarm and access events in one log, camera events in one view. A new staff member gets access to everywhere they need, in one place. Maintenance under one contract, with a committed response time.

What you get Central oversight, independent local operation – and a single phone number to call when there’s a problem.

Why MindzenSmart?

  • A registered security company. MindzenSmart (Mindzen Direct Kft.) is a security systems company registered with the Hungarian police. The alarm is built from MABISZ-recommended devices, matched to your insurance terms – with insurance compliance documented.
  • Cameras with privacy masking and documentation. We hand over the camera system with privacy masking and the necessary data protection documentation; we set the retention period on the recorder, and only designated persons can access the footage, with every access logged.
  • Access control, alarm, cameras and energy from one provider. The four systems work together – with one point of responsibility and one maintenance contract.

Frequently asked questions

What kind of alarm does an insurer expect for an office?

Typically a professionally installed system with full perimeter or space protection, in a documented, working and maintained condition; for higher risks, also connection to alarm monitoring, with a contractually guaranteed response time. Several policies explicitly require devices with a MABISZ product conformity recommendation. We go through the terms of your own policy together before quoting – this is part of the site survey.

What is the access control log good for?

It shows who has permission for which door and when, and who used it when; we set up shift-based permissions and gate control on this basis. The log can be exported.

Is heating control worthwhile with an old boiler?

Yes. In an office or medical practice, the biggest loss doesn’t come from the boiler’s efficiency but from heating empty rooms – at weekends, on public holidays, during staff holidays, or simply because the system runs the same way from seven in the morning until the evening. Even an on/off boiler can be controlled according to opening hours, the public holiday calendar and actual use: the meeting room is heated only when it’s booked, rarely used rooms are kept at a background temperature, the zone concerned shuts down when a window is open, and the system adjusts to the outdoor temperature and the forecast. This doesn’t change the boiler’s efficiency – but it does change consumption, because you heat less and in a more targeted way.

Where can cameras go in a medical practice?

Entrance, reception desk, medicine and valuables storage – for property protection. In the waiting room only with a separate justification; never in treatment rooms, examination rooms or changing rooms. We hand the system over with privacy masking and the necessary data protection documentation; we set the retention period on the recorder, and only designated persons can access the footage, with every access logged.

Can cleaners and maintenance staff be given separate permissions?

Yes: for specific days, time windows and rooms. The permission expires once the job is done or can be revoked – and the log shows when they were in.

Can an access card replace the alarm code?

With a verified system link, the two can be coordinated: a valid card disarms the relevant zone. Not every identification method is suitable for this – we test it during the site survey and at handover.

Can it be installed while we’re open?

Yes, we fit the work around your opening hours: we do cabling and dusty work outside working hours, and set-up and training during the day.
